New Feature Demo: Repository

Track, access, and stay on top of crucial documents from across different sources in a single spot. Our new Repository feature is a centralized source of truth for all of your documents, whether they were created in Docubee or imported from your favorite tools. This demo dives into where you can find the document repository and how to get the most by taking advantage of its new features.

Welcome to Docubee. Today, I’ll teach you how to use Docubeeā€™s latest version of the document repository and how it can benefit your business.

The repository is a place within our platform where you can access all of the documents that have been completed and sent via Docubee.

Your document repository can be accessed by clicking the file cabinet icon on the left-hand side of the screen.

As you can see within the repository, each file is found as a line item.Ā Ā 

These are all finalized files from either one of our modules, whether it’s quick sign workflow or contracts.Ā 

You can also import files from outside of Docubee to manage them here.

Within this centralized storage center, you can also manage your documents, making tracking, finding, and staying on top of contract due dates easy.Ā 

By hitting the 3 dots to the right of the name of your document and clicking the ā€œManage Detailsā€ option, you can make edits to the document’s details.

Here, you can add metadata and tagging.

Metadata allows you to add the document type and payment terms, assign values, and set expiration, renewal, or cancellation terms.Ā 

Adding the renewal, expiration, and cancellation terms into your document allows you to set notifications ahead of important dates, helping you cancel missed opportunities due to passing deadlines.

The repository tagging feature helps make documents easily searchable by tag type to ensure your team can quickly find documents.Ā 

This feature allows you to add as many tags as youā€™d like and then group records by tag, search, and filter as needed.Ā Ā 

Once youā€™re done configuring your file details, you can hit the save in the bottom right corner.

Reporting based on metadata and tagging is coming soon to the repository. With this new release, you can build and run reports for insight into your contracts’ performance.Ā 

Under the 3 dot menu selection from earlier, you can also view the completed document file, download it, or delete it from your document library.
